PL-300 Study Guide 2026: Power BI Data Analyst Exam Preparation

The PL-300 Microsoft Power BI Data Analyst exam assesses how candidates prepare, model, visualize, analyze, manage, and secure data with Power BI. Microsoft updated the English-language outline on 20 April 2026, making the current official PL-300 study guide the correct starting point for a 2026 preparation plan.
The four skill areas are:
- Prepare the data: 25-30%;
- Model the data: 25-30%;
- Visualize and analyze the data: 25-30%; and
- Manage and secure Power BI: 15-20%.
Microsoft lists 100 minutes for the assessment and a scaled score of 700 or greater to pass. The exam may include interactive components, and its objectives can be updated as Power BI changes.
What does PL-300 expect you to be able to do?
PL-300 is not only a test of chart names or interface locations. Microsoft describes the candidate as a data analyst who works with business stakeholders and collaborates with analytics and data engineers. You should be able to turn a requirement into a reliable semantic model and an understandable, governed report.
The official certification page specifically identifies proficiency with Power Query and Data Analysis Expressions (DAX). An effective PL-300 study plan therefore needs practical work in Power BI Desktop and the Power BI service, followed by scenario-based practice.
Prepare data with repeatable Power Query decisions
Study how to connect to data sources, inspect data, handle errors, set privacy levels, clean values, transform columns, combine queries, and load an appropriate result. Understand query parameters, data-source settings, and the consequences of choosing import, DirectQuery, or another supported connection approach.
For practice, take a deliberately untidy dataset and document each transformation. Ask whether the step belongs in the source, Power Query, the model, or a DAX calculation. Being able to justify that boundary is more valuable than memorising a menu path.
Build a model that supports correct analysis
Create relationships, date tables, hierarchies, calculated tables, calculated columns, and measures. Distinguish star-schema dimensions and facts, relationship cardinality, cross-filter direction, and active versus inactive relationships.
DAX preparation should focus on evaluation context. Practise explaining why a measure changes under a filter and how functions modify that context. Cover time intelligence, iterators, basic statistical logic, and variables at the level in Microsoft's outline. Test totals as well as individual rows because a formula that looks correct in one visual can still be wrong in the model.
Design reports for decisions, accessibility, and performance
Build reports around a user question rather than filling a canvas with visuals. Compare charts by analytical purpose, configure interactions, drill-through, tooltips, bookmarks, navigation, conditional formatting, and mobile layouts. Include accessible labels, reading order, contrast, and keyboard considerations in your review.
The April 2026 outline includes current capabilities such as personalized visuals, automatic page refresh, forecasting, anomaly detection, and AI-assisted features. Verify feature behavior in current Microsoft documentation rather than relying on screenshots from an old course.
Performance matters too. Reduce unnecessary model size, limit high-cardinality fields, simplify transformations and DAX where appropriate, and use performance tools to identify the real bottleneck.
Manage and secure Power BI content
Study workspaces, apps, semantic models, dashboards, refresh, gateways, endorsements, sensitivity considerations, subscriptions, and deployment or distribution choices covered by the outline. Understand row-level security and the difference between workspace roles and data access inside a model.
Security scenarios often include several controls that sound useful. Identify the user, the asset, the required action, and the narrowest appropriate permission before selecting an answer.
A five-week PL-300 exam-preparation plan
Week 1: objectives and data preparation
Map the official skills, take a baseline assessment, and complete several Power Query transformations. Keep an error log for data types, nulls, privacy, and combination mistakes.
Week 2: modeling and DAX
Build a star schema from raw tables. Add measures gradually and verify them under different filters. Explain each relationship and calculation without looking at the solution.
Week 3: reports and analysis
Create desktop and mobile layouts for a defined audience. Add analytical features only when they answer a real question. Review accessibility and performance.
Week 4: service, refresh, governance, and security
Publish a practice workspace, configure permitted access, understand refresh dependencies, and test row-level security with representative users.
Week 5: mixed scenarios and timed practice
Complete the Microsoft practice assessment and a timed PL-300 mock. Review both knowledge gaps and inefficient decision patterns before retesting.
Use a PL-300 practice test diagnostically
A practice exam is most useful after you have built reports and models yourself. For every missed or uncertain item, record:
- which requirement controlled the answer;
- whether the gap was Power Query, modeling, DAX, reporting, or governance;
- why the chosen option was weaker; and
- which practical task will confirm the corrected reasoning.
